Privacy, in plain English.

We collect only what you send us, we set no advertising cookies and do no cross-site tracking, and we use what you send us to reply to you. This page spells out exactly how that works, no legalese, no surprises.

DocHelp is a Melbourne-based medical practice consultancy operated by Jamal Al-Sharifi. This policy covers the website dochelp.com.au and how we handle any personal information you give us through it. We apply the Australian Privacy Principles to everything we hold, whether or not the Privacy Act 1988 requires it of a business our size, and this whole policy comes down to one idea: we only hold what you choose to send us, and we only use it to help you.

What we collect.

Only what you type into a form or send us directly. Our enquiry and tool forms ask for your name, your role, your practice name, your email, your phone number (optional), and your message or the results of a tool you've used: plus a tick-box if you'd like a call or text back. The training sign-up form asks for less again: your name, your email, which stream you are after, and where you are. Applying for a job, to an ad on this site or through the general application on the jobs page, asks for more, and the Jobs and training section below lists it. If you email or call us instead, we hold whatever you choose to tell us. That's it. We don't buy data, scrape data, or collect anything behind the scenes beyond the page counts described under Cookies and tracking below.

Why we collect it.

To respond to your enquiry and, if you engage us, to deliver the work. Nothing else. We don't add you to a mailing list, we don't send newsletters you didn't ask for, and we never sell or rent your details to anyone. If you download the free resource pack, Jamal sends one email offering the free on-site audit. That is the only follow-up. If you register on the jobs or training page, we use your details to get back to you about work or about the program, and for nothing else. If you apply for a job, we use your application to consider you for that job, and we keep an account for you so you can follow it. If you set up a job alert, we email you each matching job until you stop the alert.

Where it goes.

When you submit a form on this site, it's delivered by Web3Forms, a form delivery service, straight to our email, contact@dochelp.com.au. From there it stays in our inbox and our working files for your enquiry or engagement. The jobs and training forms are also saved in DocHelp's own database, described under Jobs and training below, and the emails the jobs board sends go through Resend, described under The services behind the site. The inbox and the working files sit in password-protected accounts with two-step sign-in, and Jamal is the only person who reads enquiries. No mailing lists, no marketing databases, no third-party CRMs quietly collecting in the background.

The services behind the site.

Web3Forms passes your form submission from the website to our email; it processes the submission in order to deliver it. Web3Forms is an overseas provider. Its privacy policy says submissions are stored encrypted in a database on Amazon Web Services, which can hold and process data in more than one country, so a form you send us is disclosed outside Australia for the time it takes to deliver. Cloudflare, a United States company, hosts and serves the website through its global network, and like every web host keeps standard server logs (things like IP address, browser type and pages requested) for security and performance; those logs may be processed outside Australia. Cloudflare also holds DocHelp's own database, where the jobs and training forms, job applications, CVs and applicant accounts are saved, and it may hold that database outside Australia. Resend, a United States company, delivers the emails the jobs board sends: sign-in links, receipts and news about an application, job alerts, emails to practices with a clinic login, and the alerts to Jamal. It receives each email and the address it goes to, and may handle them outside Australia. Cloudflare Web Analytics counts page views for us. It sets no cookies, keeps nothing in your browser and does not fingerprint you; we see aggregate numbers by page, referrer, browser, device type and country. Microsoft OneDrive holds our working files, so if you engage us, your enquiry and the documents that follow sit in Microsoft's cloud, which stores and backs up data across more than one country. Google Fonts supplies the two typefaces on this site, which load from Google's servers when a page opens, so Google receives the request your browser makes for them. Each provider receives only what it needs to do its one job.

In short: a form submission, our working files, the jobs and training database, the emails the jobs board sends and the server logs can be held or processed outside Australia. Nothing else about you goes anywhere, and we never sell, rent or hand your details to anyone for their own purposes.

Cookies and tracking.

This site uses Google Analytics to count visits and see which pages get used, and it sets cookies in your browser to do that. It sets no advertising cookies, does no ad retargeting, and there is no Meta pixel and no session recording. We'd rather earn your enquiry with a useful website than follow you around the internet. Three things do live in your own browser. The 6th edition tracker keeps your ticks in your browser's local storage so they are still there when you come back, the Ask widget remembers for the rest of the session that you have sent a question, and the job application form keeps what you have typed in that browser tab until you send it or close the tab, so a reload does not lose it. None of them leaves your device, and clearing your browser data removes all three. Practices with a clinic login, Jamal, and job applicants who sign in to their account get one cookie each when they sign in, which keeps them signed in and does nothing else. Page views are counted by Cloudflare Web Analytics, described above, without cookies.

How long we keep it.

As long as we need it to handle your enquiry or engagement, plus whatever our legal and tax obligations require us to keep (invoices, engagement records). Jobs and training registrations and job applications, CVs included, are kept for twelve months and then deleted automatically. An applicant account is deleted 12 months after you last use it, and you can delete yours at any time from your account page. The log of the emails the jobs board sends is kept for 90 days. If you'd like your details deleted sooner, ask: see your rights below.

Jobs and training.

Two pages on this site take details from people rather than from practices: the jobs board and the training program. Because those details are about someone's work and their livelihood, this section spells out exactly what happens to them.

What those forms collect. The training sign-up form collects your name, your email, which stream you are after, where you are and whether you have worked in a clinic before. If you are a practice telling us about a role, your practice name, suburb, your name, your email and what you need filled. Applying for a job collects more, because the practices need it. Applying to an ad posted on this site collects your name, email and mobile number, your answer about your right to work in Australia, your expected pay and when you can work (days, hours and when you can start), your answers to the screening questions on that ad, your letter and your CV, and for nursing roles your Ahpra registration number. The general application on the jobs page collects the same, plus the role you want, whether you have worked in a medical centre or GP practice, your suburb and state, the areas you can work in, any other languages you choose to give, and your Ahpra registration number if you are a nurse. Both job forms also note whether the letter was typed or pasted in, which only Jamal sees. Nothing else. We never ask for your visa type, your age, your health or your family: the right to work question asks only which of four kinds of working rights you have.

Please leave some things out. Do not write anything in these forms, your CV or your letter about your health, your family situation or your visa status, beyond the right to work question. We do not want it, it is not used to assess you, and we would rather not hold it. Practices: do not name a staff member or a patient in the box.

Where it goes, and who sees it. Everything you send through these forms is saved in DocHelp's own database, hosted by Cloudflare, a United States company, which may hold it outside Australia. Only Jamal can open it, through a password and a code from an authenticator app, and you can see your own applications through your account. For every one of these forms Jamal gets an alert with your name and the reference, sent through Resend; your other details and your CV stay in the database. If that alert cannot be sent, a short one with the reference only goes through Web3Forms instead. If the database cannot take a form, Web3Forms delivers it to contact@dochelp.com.au (a general application without its CV), and Jamal is the only person who reads it. Web3Forms is an overseas provider and stores submissions encrypted on Amazon Web Services, which can hold and process data in more than one country, so those details are disclosed outside Australia for the time it takes to deliver the message.

Your account. When you apply for a job or send the general application, we keep an account for you under your email address: your details, your latest CV, your applications, and any job alerts and saved jobs you set up. There is no password. You sign in with a link we email you, and each link works once: the one in your receipt for 24 hours, one you ask for on the account page for 15 minutes. On your account page you can see where each application is up to, change your details and your CV, withdraw an application, set up or stop job alerts, save jobs, and delete your account. Deleting it removes your account, your applications, your letters and CVs, your job alerts and saved jobs from DocHelp; a practice we already passed your application to keeps what it was sent. If you do not use your account for 12 months, we delete it.

Emails we send you. A receipt when you apply, news about your application as it moves along, and the job alerts you set up: one email for each matching job, each with a link to stop the alert. They go through Resend, a United States company. We keep a log of the emails the jobs board sends for 90 days, then it is deleted.

Practices that post jobs. A practice that posts a job here gets its own clinic login. Through it the practice sees its own ads and only the applicants for those ads who have agreed to be passed to it. It never sees anyone else, and it never sees the sign-up forms. It can keep its own shortlist and notes on the applicants passed to it, and DocHelp sees those notes too. It is emailed when we pass it an applicant (with no details about the person in the email), when its ad goes live or is sent back, and when an applicant it was passed withdraws. A practice given a clinic login keeps its contact details with us for as long as it has the login.

We never pass your details to a practice without asking you. If a practice is hiring and you look like a fit, we ask you first, we name the practice when we ask, and we only send your details if you say yes. Each time, for each practice. When you apply for a job, the form has a box naming the practice on the ad: ticking it is your yes for that job. If you leave it unticked, we ask you first. If you sent the general application, we ask you before we put you forward for a particular ad, and we record how you said yes. We do not maintain a list that practices can browse, we do not sell or rent your details, and nothing goes anywhere on the strength of a general permission given once.

We are not the employer. Practices post their own roles and employ people directly. DocHelp introduces people to practices; it does not hire anyone out, rent anyone out, or employ anyone who applies through this site. There is no fee to you at any point, for the jobs board or for the training program.

How long we keep it. Twelve months from the day you send it, then it is deleted automatically, CV included. Your account goes 12 months after you last use it, and you can delete it yourself at any time from your account page. Ask sooner and we will delete it sooner.

What the forms decide on their own. One thing only: the right to work question. The practices we work with need full working rights in Australia and do not sponsor visas, so if you answer that you can only work limited hours or would need a visa sponsor, the form says so and does not send, and nothing from it is kept. Everything else is read by Jamal himself, every registration and every application. A job ad can ask a few screening questions, such as years of experience. Your answers are shown to Jamal next to your application, marked where they match what the ad asked for, and he can use them to sort or filter the list. Nothing else is rejected or hidden automatically. No score and no automated system decides who hears back or who gets put forward. If that ever changes, this policy will say so before it does, including what the system looks at and how to ask a person to look at it instead.

Your rights are the same as everyone else's. Ask us what we hold about you, ask us to correct it, ask us to delete it, or complain: the next section says how.

Your rights.

Under the Australian Privacy Principles you can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email contact@dochelp.com.au or call 1800 DOC HELP (1800 362 435) and we'll deal with it promptly and without fuss. If you think we have mishandled your information, tell us the same way. Jamal reads every complaint himself, will acknowledge it within seven days, and will give you a written answer within 30 days. If we can't resolve it together, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

One important thing: no patient information.

DocHelp works with practices, not patients. We don't want, and don't need, any patient or clinical information through this website. Please don't include patient names, health details or anything from a clinical record in a form or email to us. If your enquiry touches on patient data (say, a software migration), we'll handle that inside your practice's own systems under a proper agreement, not over a web form.
